At Go Easy Travel, we are committed to protecting your privacy and want to be transparent about how we collect and use your data. Go Easy Travel collects personal data about you only with your full knowledge in conjunction with a travel product purchase, registration of a purchased travel product, a request for information or a request for a travel product quote. We also allow you to specify how your personal data can be used by us.

It is Go Easy Travel’s policy that you should know exactly what personal data we collect from you and how we use it. We collect personal data from you for the purpose of processing your order or enquiry.

What information will we take from you?

We will collect personal information from you when you contact us to inquire about a holiday information displayed on our website. The information that we will collect:

When making a reservation we will require more data to process your order such as:

2. A copy of your passport for Advance Passenger Information
3. Copies of photographs to process visa applications

What do we use your information for?

For holiday quotations: we use your details to contact you with the information that you request from us at the time of your inquiry.

For holiday bookings:  We use you’re the data for contact purposes, to prepare quotes and book your holiday requirements including your payment, flight, holiday, security, incident/accident management or insurance, etc.

In order for you to travel abroad, it may be mandatory to disclose and process your information for immigration, border control, security and anti-terrorism purposes, or any other purposes which they determine appropriate. Some countries will only permit travel if you provide your advance passenger data ie your full passport details.  All data required differs depending on your destination. We do advise you to check the country requirements and even if not mandatory we may exercise our right to assist where possible with these arrangements, where appropriate.

For marketing purposes: To further offer our full services to you, we would like to update you as and when with information on our products and services as well as future events and special offers we may think are of interest to you. This may be based on your travel preferences and we encourage you to update your preferences for travel destinations and information.  If you no longer wish to hear from us you may at any time use the Unsubscribe button on our marketing emails to remove yourself from the list at any time.

Please get in touch with our Data Protection Administrator using the details at the bottom of this policy if you would like us to remove your details from our customer records entirely.

With your consent: We use information about you where you have given us consent to do so for a specific purpose not listed above. For example, we may publish testimonials or featured customer stories to promote the Services, with your permission.

Contract: The processing is necessary in relation to a contract you have entered into for a holiday or other arrangement or because you have asked for something to be done e.g. a quote, car hire, travel insurance

Consent: If it is necessary to process sensitive personal information in relation to your request (e.g. relating to health or religion) we will obtain your consent to collect this data and to share it with suppliers when necessary.

Legitimate Interest: We believe that there is a legitimate Interest between yourself and Go Easy Travel, when you have previously requested any of our services such as a quotation, entered a competition at a wedding fayre, registered for attendance at one of our events or requested an informational download, on this basis we would like to keep in touch about our products and services. If you do not want to receive any further information on forthcoming events, destination news and special offers, just let us know using our contact details or use the unsubscribe option on our emails.

Lawful Basis for using your date: – We use your data to process your request in order for Go Easy Travel to make the reservation or provide the quotation requested.

If you do not wish to provide your Personal Data to us, what happens?

Unfortunately, it will not be possible for us to answer your enquiry or make any bookings for you if you do not wish to supply us with your personal data.

How do we use your data?

We may use your personal data to supply travel products and services that you have requested, carry out any agreement with you or take any steps that you have requested. In particular, we may:

2. Alert you to important travel product revisions or updates
3. Inform you of any changes to your purchased travel products

Who do we share your data with?

We do not share your data with any other companies or persons for any marketing purposes.  We do not sell or rent your data to other companies for marketing purposes either. No third party has access to your data unless the law allows them access.

When you make a booking we may need to share your data without travel supplier as per our travel quotation issued to you. We may also need to provide your details to public authorities such as Customs and immigration as well as airlines, hotels and transport companies. We will advise you at the time who your data is being shared with for the purpose of your booking.

How Long do we keep your data?

We will keep your data for the duration of your enquiry and if this does not convert to a booking will ask if you wish to remain on our database to contact with information on similar holiday products or services. Once on our database, you will have the option to opt out at any time. As a guideline we keep your data for the following duration:

1. Enquiry – for the duration of the enquiry and only if requested for future marketing emails.
2. Booking – We keep the data on file in accordance with the law relating to income and tax audit purposes. We do not retain payment card details these are taken by telephone and processed using a GDPR compliant third-party, ie Barclays epdq

Storage of your data

Your data is stored using GDPR compliant third party email provider and we disclose only the basic information such as name, email and preference in order to keep you informed of your booking and any future promotional and marketing information.

Furthermore your data is stored on our in-house CRM software system hosted on UK servers and protected by password access.

We have taken all actions possible to protect your data including full training on Data Protection polices and all office PC’s are security password protected.

You should also be aware that we may occasionally provide links from our Web site to other sites that we think will interest you. If you click on a banner advertisement or any other link, the “click” will take you off the Go Easy Travel website. Once you leave any Go Easy Travel website, any information that you may have provided remains with us and is not forwarded to the next site to which you have linked to. Personal data that you may choose to provide to a third party website linked to an Go Easy Travel web site will be subject to the privacy policy of the operators of the third party Web site. Go Easy Travel is not responsible for the use or protection of personal data you disclose to a third party Web site operator, even if reached from the Go Easy Travel website.

Go Easy Travel may also transfer personal data to other countries as a requirement of your holiday reservation. These may be outside the European Economic Area and may not have adequate laws that protect the rights and freedoms of data subjects in relation to the processing of personal data. Where this is done, Go Easy Travel shall take reasonable steps to enter into agreements that protect the information transferred. By supplying personal data to Go Easy Travel you consent to any such transfer.

Any information that you choose to provide us will be used to personalise and improve our customer service operations. All information is collected and stored in a secure manner and is used strictly in relation to this policy and your stated preference.
